The Director of Finance and Facilities is a multifaceted position, responsible for general shelter administrative operations, all accounting and financial record keeping, and helping to oversee the facility.
Duties and Responsibilities Finance:
-Responsible for the input of all financial data for the organization into Quick Books for accounts receivable.
This includes, but is not limited to, cash, check, and online donations, front desk income, resale store income, and grant funds.
Invoices agency clients for services completed with Harbor's Spay/Neuter clinic.
-Responsible for the input of all Harbor financial data into Quick Books for accounts payable.
This includes, but is not limited to, paying all bills associated with shelter and resale store, tracking and inputting electronic and automatic payments, inputting all credit card charges, and inputting weekly payroll.
-Prepares weekly cash deposits for delivery to bank and remote check deposits.
-Reconciles all bank and credit card accounts monthly.
-Tracks and pays Sales Tax to the State of Michigan on a monthly basis.
-Tracks and inputs investment information, restricted funds, employee deductions, and deferred revenue.
-Prepares and analyzes monthly financial reports and provides them to the Executive Director and Board of Directors.
-Works in conjunction with the Executive Director and the Board Treasurer to prepare the proposed yearly budget to present to the Board of Directors.
-Works in conjunction with contracted CPA to complete annual audit and prepare 990.
-Reconciles sold dog licenses with the Ottawa County Treasurer's Office.
-Prepares monthly stray animal reports and reconciles them with Lead Animal Control Officer.
-Runs biweekly payroll.
-Administers SIMPLE IRA and Health Insurance benefits in conjunction with HR Manager.
-Consults on a variety of human resources issues.
General Operations:
-Consults with Executive Director and Leadership team regarding overall operations of the shelter.
-Oversees maintenance staff and consults on facilities projects.
-Oversees yearly physical inventory of donated items for annual audit.
-Tracks in-kind donations inventory.
-Serves as a point of contact for many vendors/contractors.
-Oversees construction projects in conjunction with Executive Director.
-Seeks quotes for large facility related expenses.
Qualifications/Requirements:
Bachelor's degree or equivalent experience.
Knowledge, skills, and abilities sufficient to carry out the above responsibilities.
Understanding and working knowledge of QuickBooks (knowledge of QuickBooks Enterprise for Nonprofits a plus).
Understanding of general accounting principles.
Excellent organizational, communication, and interpersonal skills.
Self-directed and able to work on multiple projects at one time in a face paced environment.
Proficient in Microsoft Office, including MS Word and MS Excel.
Working Conditions:
The position is full-time and the work schedule may be flexible, requiring occasional evenings and weekends.
The physical demands of the position include sitting, standing, and walking; occasional lifting, carrying, pushing and pulling of 50 lbs.
; and stooping, kneeling, reaching, handling, speaking, hearing, and seeing.
